Accessibility Standards For Documents
You may not realize that documents have a specific structure, and that there specific tags and labels that are required to ensure your documents can be read by assistive technology. These elements are critical to certifying that everyone has equal access to the documents on your website and anyone using assistive technology is able to correctly interpret the meaning of the document.
The goal of these standards is to define content and structure within information found on the Internet and within Internet-based documents separately so it can be displayed appropriately on a variety of different devices. These standards allow for text extraction by screen readers and other assistive technology by taking advantage of the logical structure of the document that includes chapters, headings, paragraphs and sections as well as elements such as figures, tables and footnotes.
We work with your team to ensure accessibility of various document types including:
- Adobe PDFs (.pdf)
- Adobe InDesign (.indd)
- Microsoft Word (.doc, .docx)
- Microsoft Excel (.xls, .xlsx)
- Microsoft PowerPoint (.ppt, .pptx)
PDF and Source Documents Remediation
We ensures your PDF documents meet today’s leading accessibility standards, such as Web Content Accessibility Guidelines (WCAG) 2.0 Level AA, PDF/UA. Our process ensures all documents are accurately tagged for the end user. Our goal is to provide a consistent, fully accessible document that accurately conveys all relevant information.
PDF/UA - "Universal Accessibility"
The primary purpose of ISO 14289 (known as PDF/UA, for "Universal Accessibility") is to define how to represent electronic documents in the PDF format in a manner that allows the file to be accessible. This is accomplished by identifying the set of PDF components that may be used and restrictions on the form of their use.
How do you achieve pdf accessibility?
We follow the Section 508 standards and WCAG 2.0 accessibility guidelines as they apply to documents. If required, the PDF accessibility checklist published by the United States Department of Health and Human Services (HHS) will be supplied.
We ensure PDF accessibility using:
- Adobe Acrobat Quick Accessibility Check
- Adobe Acrobat Full Accessibility
- Adobe Read-Aloud
- Screen readers such as JAWS
- Third-party verification tools, as appropriate
In addition we can:
- Advise content authors on remediation methods
- Train authors in techniques for improving document accessibility
- Perform regular audits of documents to ensure on-going accessibility
- Provide help desk support
- Augment your staff when you need additional help
When should we make pdf documents accessible?
Document accessibility evaluation and remediation can be performed at any point during your project, including early planning, design, creation or testing. We understand that development schedules are often predetermined so we collaborate with you to realistically plan the project. Based on this information, we help you develop an accessibility strategy that works to meet your goals.
